Terms of Service

Effective: 13 August 2026

These Terms govern use of Sanctuary HR, a recruitment workflow service operated by Sanctuary Consulting & Development Group Ltd.

1. Accounts and candidate information

You must provide accurate information and keep your candidate profile current. Sanctuary HR is designed to use verified candidate facts and must not be used to submit false qualifications, employment history, eligibility information or other misleading application information.

2. Agent Access Request

Creating an account does not automatically activate the autonomous HR Agent. A user may submit an Agent Access Request. Sanctuary Admin may approve, reject, pause or revoke Agent access. Approval only makes the Agent service available; it does not grant access to the user's Google account.

3. Connected accounts and permissions

You choose whether to connect Gmail and Google Calendar and must complete Google's own authorisation flow. By enabling a permission in Sanctuary HR, you give the Agent a standing instruction to use that permission for the recruitment workflow described in the interface. The application permission includes preparing and submitting supported job applications on your behalf, accepting standard mandatory employer privacy/data-processing notices that are necessary to submit an application, and making standard truthful application declarations using only verified Candidate Profile facts. Optional marketing consent is not granted by default. You may disconnect connected services or pause the Agent.

4. Autonomous recruitment activity

When activated, the HR Agent may perform authorised recruitment tasks within the limits configured for your account, including job matching, preparation of application material, supported application actions, recruitment-message processing, application tracking, interview coordination and follow-up. Admin controls operational limits such as daily application volume and active interview slots.

5. No guarantee of employment

Sanctuary HR helps manage recruitment activity but does not control employer decisions and does not guarantee an interview, offer, employment outcome, salary or response time.

6. Third-party services

Employer career sites, applicant-tracking systems, Google services and other third-party systems are governed by their own terms and availability. Some recruitment steps may require direct user action, identity checks, CAPTCHA completion or information that the Agent cannot lawfully or reliably provide.

7. Acceptable use

You must not use Sanctuary HR to impersonate another person, submit knowingly false information, interfere with the service, bypass security controls, abuse third-party systems, or use the Agent for unlawful or deceptive activity.

8. Records and case archive

Sanctuary HR maintains operational and audit records of recruitment activity. When a case is closed, a complete case archive may be generated by Admin for the user. Audit records are intended to preserve a reliable history of system actions.

9. Availability and changes

Features may change as integrations, employer systems and API requirements evolve. We may suspend a feature where required for security, legal compliance, third-party platform requirements or service maintenance.

10. Liability

Nothing in these Terms excludes liability that cannot legally be excluded. Subject to applicable law, Sanctuary HR is not responsible for employer decisions, third-party outages, inaccurate information supplied by a user, or consequences arising from a user failing to keep their profile or permissions current.

11. Governing law

These Terms are governed by the laws of England and Wales, subject to any mandatory consumer rights that apply to you.
